Overview
I am seeking an experienced bookkeeper to assist with preparing data for my firm’s 2025 accounts. This is not accounting or tax work. It is purely an administrative categorisation and data organisation task in Excel, but experience with QuickBooks of at least 3 years is needed.
You will be provided with:
Original Chart of Accounts (QuickBooks export)
Draft Revised Chart of Accounts Template (business specific)
Barclays Business Transactions.xlsx (approx. 1 year of transactions)
Personal Account.xlsx (approx. 1 year of transactions)
QuickBooks Expenses Export.xlsx
Bookkeeper / Admin Work (Non-Accountant) 1. Chart of Accounts
Compare the Original Chart of Accounts vs the Revised Template - using the information of the suppliers and expenses, map out all the suppliers not already in the Revised template i.e. add missing accounts, rename existing ones, and mark redundant ones for inactivation.
2. Supplier Mapping
Open PAIL-Original-Suppliers.xlsx.
Add a new column → Correct Category (from Revised Chart of Accounts).
Assign each supplier to a category (e.g. Adobe → IT Subscriptions).
3. Transaction Tagging
Open Barclays Transactions (Business) and Personal Account.xlsx.
Add two new columns to each file:
Business / Loan / Drawing
Correct Category
Tag every line consistently (using supplier mapping).
4. QuickBooks Expenses Export
Cross-reference against the tagged Barclays file.
Produce a mapping sheet: QuickBooks Category → Correct Category.
Scope / Volume of Work
Business bank account transactions: ~1 year of entries.
Personal account transactions: ~1 year of entries.
Expenses and suppliers repeat consistently — once you identify the common names (Adobe, Dropbox, Starbucks, Uber Eats, barristers, rent, etc.), the classification will become much easier.
This is not about deciphering every line individually — it’s about setting consistent rules and applying them.
